Specialist, Billing

Reports to Manager, Billing Operations

The Specialist, Billing, calculates, prepares invoices, perform billing investigations and account updates and maintenance, update reports; and handles inquiries related to billing, according to established procedures. In addition, the Specialist, Billing, will investigate claims, audit call centre processes and provide coaching to call centre representatives in order to minimize the issuing of credits and refunds.

Accountabilities

  • Prepare invoices
  • Respond to customer inquiries
  • Review account credits and refunds issued by call centre staff
  • Respond to credit card provider inquiries regarding chargebacks, credit card member inquiries and/or fraudulent claims
  • Create procedure manuals for new processes, update existing documentation as processes evolve
  • Administer payment transaction charges and refunds
  • Provide feedback from investigations to call centre to better train staff
  • Investigate Accounts Receivable aging to ensure no collection exemptions
  • Identify billing issues and fix or escalate to IT for software support
  • Work with third-party agencies and IT to ensure timeliness of invoices for billing customers
  • Prepare and issue manual invoicing to Fleet and Commercial customers
  • Maintain collections procedures, including direct communications with customers, internal escalation of accounts and reporting Accounts Receivable status
  • Provide support to commercial business through billing and calculation of tariffs
  • Administer demo, VIP and employee accounts
  • Prepare account reconciliations
  • Prepare and post various general entries for month-end process
  • Respond to inquiries; maintain good internal and external customer relations while solving problems

Knowledge and Skill Requirements

Level of Education

  • Secondary school diploma

Job Related Experience

  • Minimum 2 years relevant experience

Skills and Background

  • Proficiency in MS Office applications
